Hospitality Customer Experience Manager<\/strong><\/p>\n

POSITION PROFILE <\/p>\n

Provides exceptional service-related support to Service Delivery customers in hospitality, concierge, and Ricoh Workplace Services. The Hospitality, Customer Experience Manager supervises day-to day operations of Managed Services staff. Time should be spent in delivery of hospitality, concierge, and Ricoh Workplace Services. High degree of customer interface. This position serves as a representative of both Ricoh culture and the customers culture.<\/p>\n

Job Duties and Responsibilities <\/p>\n

\ufffd\u00b7 Responsible for conference room booking and room conflict resolution, book travel, expense reporting<\/p>\n

\ufffd\u00b7 Conflict management and resolution of conference room bookings<\/p>\n

\ufffd\u00b7 Work with cross-functional teams (AV, IT, Facilities, Concierge) to coordinate events and client meetings<\/p>\n

\ufffd\u00b7 Responsible for appearance\/maintenance of all hospitality\/facilities areas<\/p>\n

\ufffd\u00b7 Support clients and team through excellent communication and professional level skills<\/p>\n

\ufffd\u00b7 Prepare for key client visits \/ liaise with Building Security staff<\/p>\n

\ufffd\u00b7 Convert monthly volumes into RICOH Monthly Management report along with creating customized reporting for client<\/p>\n

\ufffd\u00b7 Oversees catering program for sites and ensures quality<\/p>\n

\ufffd\u00b7 Works closely with Facilities Management to ensure function and maintenance of meeting space.<\/p>\n

\ufffd\u00b7 Develops and maintains Standard Operating Procedures for visitor access as well as special requests<\/p>\n

\ufffd\u00b7 Ensures SOP’s are consistently followed (i.e. mail procedures, visitor access, new hire procedures, office seating)<\/p>\n

\ufffd\u00b7 Holds Client Lead Communication Meetings: Communicate daily with internal and external clients<\/p>\n

\ufffd\u00b7 Maintains communication with Site Managers and guides and assist with any employee relations or performance issues.<\/p>\n

\ufffd\u00b7 Responsible for catering and beverage orders as well as coordinating details with the Hospitality Manager, staff, reception, office support and building management when necessary.<\/p>\n

\ufffd\u00b7 Process and follow up on all catering orders. Along with providing daily guidance and direction to Hospitality Specialists regarding workflow, catering issues, logistics, events, etc.<\/p>\n

\ufffd\u00b7 Manage client vendor relationships\/validating vendor invoices and submitting for processing<\/p>\n

\ufffd\u00b7 Provide advanced administrative skills in typing, proofreading, and editing various documents, coordinates projects, events, firm meetings and other initiatives requiring the ability to work independently.<\/p>\n

\ufffd\u00b7 Manage and or\/assist with various internal and external events and coordinate all office wide special events and projects with identified client<\/p>\n

\ufffd\u00b7 Create and bring new ideas for firm team buildings events<\/p>\n

\ufffd\u00b7 Assisting with cleaning kitchens, stocking supplies, and tracking inventory.<\/p>\n

\ufffd\u00b7 Greet visitors\/guests -validate against guest list, provide badge, parking validation as necessary<\/p>\n

\ufffd\u00b7 Serve as company concierge in regard to guests, clients, staff, providing tours of facilities,<\/p>\n

\ufffd\u00b7 Coordinate catering for meetings with support staff and caterers<\/p>\n

\ufffd\u00b7 Maintain and update company phone & speed dial lists<\/p>\n

\ufffd\u00b7 Schedule meeting rooms, ensuring that each conference room has the necessary supplies and set-up prior to meeting times<\/p>\n

\ufffd\u00b7 Where\/when appropriate, the individual will also be asked to help with other departmental\/non- client business activities<\/p>\n

\ufffd\u00b7 May assist with daily management of facilities<\/p>\n

\ufffd\u00b7 Creation of proposals in customer systems<\/p>\n

\ufffd\u00b7 Support Executive Level client facing staff<\/p>\n

\ufffd\u00b7 Vendor procurement and coordination for special projects<\/p>\n

\ufffd\u00b7 Invoices accounts and interacts with customer; assists in maintaining acceptable profit levels and ensures that customer expectations are met<\/p>\n

\ufffd\u00b7 Represents the culture of both Ricoh and the customer as required<\/p>\n

\ufffd\u00b7 Perform other duties as assigned<\/p>\n

QUALIFICATIONS (Education, Experience, and Certifications) <\/p>\n

\ufffd\u00b7 Requires High School diploma or equivalent; college is a plus.<\/p>\n

\ufffd\u00b7 1-3 years in Hospitality and Service industry related field preferred.<\/p>\n

\ufffd\u00b7 Required proficient PC skills, utilizing standard business software applications, and Microsoft suite-Outlook, Outlook Calendar, Word, Excel, PPT.<\/p>\n

KNOWLEDGE, Skills And Abilities <\/p>\n

\ufffd\u00b7 Needs to have excellent written as well as verbal communication skills<\/p>\n

\ufffd\u00b7 Excellent customer service skills<\/p>\n

\ufffd\u00b7 Ability to work under pressure is a must<\/p>\n

\ufffd\u00b7 Ability to set goals by defining and prioritizing specific, realistic objectives.<\/p>\n

\ufffd\u00b7 Ability to remain updated on current technology and trends in the marketplace by reading relevant journals, magazines and newspapers.<\/p>\n

\ufffd\u00b7 Expert with MRM meeting room management software and reporting<\/p>\n

\ufffd\u00b7 Knowledge of Skype Client and Bridge Operator Console<\/p>\n

\ufffd\u00b7 Knowledge of iVisitor guest check-in software<\/p>\n

\ufffd\u00b7 Proficient in coordinating, organizing, planning events<\/p>\n

\ufffd\u00b7 Proficient in the use of workplace productivity services example; visual communication services, meeting room services and facilities\/workplace management services<\/p>\n

Working Conditions, MENTAL AND PHYSICAL DEMANDS<\/strong><\/p>\n

\ufffd\u00b7 Typically, an office environment with adequate lighting and ventilation, and a normal temperature range and noise level.<\/p>\n

\ufffd\u00b7 Work assignments are diversified. Interpret, comprehend and apply complex material, data and instruction prepare, provide and convey diversified information.<\/p>\n

\ufffd\u00b7 Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically with less than 10 lbs. (e.g., papers, books, files and small parts, etc.).<\/p>\n

\ufffd\u00b7 Moderate dexterity \ufffd\u00b7 regular application of basic skills (calculator, keyboard, hand tools, eye\/hand coordination.<\/p>\n
